Reservation managementby phone, with AI

Some customers book by phone rather than online - because it is faster, because something needs checking, or because the form does not fit their case. Aistė, an AI voice agent that speaks your customers' language, answers around the clock, checks open times during the call and handles the reservation according to your agreed process.

How it works

What is reservation management by phone?

This is not a reservation system and not another form on your website. You already have a booking tool - what we are talking about is the conversation: who answers when a customer calls to register, move a visit or check a time.

Aistė takes exactly that conversation. She works from instructions agreed in advance, speaks your customers' language, and performs the reservation actions we connect with you. Your online booking stays where it is.

Creates a reservation during the call

Moves an existing reservation to another time

Cancels a reservation when the customer asks

Checks open times against the connected reservation process

Collects the information the reservation needs

Answers the reservation-related questions agreed in advance

Initiates the confirmation to the customer through the agreed channel

How does a reservation call go?

  1. The customer calls

The call reaches Aistė through the agreed number setup. The call opens by disclosing that the caller is speaking with an AI.

  2. Aistė works out what is needed

Whether the customer wants to book, move or cancel a time. She then collects the information your agreed workflow requires.

  3. She checks times and acts

Aistė offers open times from the connected process and creates, changes or cancels the reservation - whichever the customer asked for.

  4. Confirmation, or handover to the team

The customer gets a confirmation through the agreed channel. When a person has to decide, Aistė says a colleague will be in touch and the request stays with your team.

Calendar and business-system integration

  • Open times and reservations are linked to your calendar or reservation process

  • Reservation data can be passed to a CRM or another business system

  • The specific connection is coordinated separately for your environment

We do not offer a one-click connector that fits any system automatically. Before launch we establish where your reservation information lives and agree how to reach it.

SMS message

A short confirmation to the customer's phone.

Email

A confirmation carrying the reservation details.

Calendar invitation

An invitation the customer can add to their own calendar.

Reservation calls around the clock

Working hours

When the line is busy

Calls are answered while the team is with another customer or serving in person.

Evening

After hours

A customer can book when it suits them, without waiting for the morning.

Night

At night

The call is taken at night too; the reservation is handled through the connected process.

Weekend

Weekends and public holidays

In the morning the team sees who called and what was done.

Who is this service for?

A fit

  • Clinics and health-service organisations
  • Beauty and wellness businesses
  • Real-estate businesses
  • Service and maintenance providers
  • Consultation-based businesses
  • Other organisations that get calls about visits or reservations

Needs extra coordination

  • When every case needs a specialist's judgement
  • When the reservation needs access to a system we do not support
  • When a person must approve every single time slot
  • Emergency or other high-risk calls

Data and privacy

  • Every call opens by disclosing that the caller is speaking with an artificial intelligence.

  • Only the information the agreed reservation action needs is collected.

  • Where the data travels next depends on the agreed workflow and the connected systems.

Frequently asked questions

Aistė answers in your customers' language, disclosing at the start that the caller is speaking with an AI. She works out whether the customer wants to book, move or cancel a time, collects the required information and performs the agreed action.

Let us check whether it fits your reservation process

In the conversation we will establish what callers usually ask for, which reservation actions are needed, which calendar or system to connect, and when a colleague has to step in.
